The documentation habit that protects NC landlords

The difference between a paid claim and a denied claim often comes down to documentation. Insurance companies want to know: what was the condition before, what is the condition now, and what caused the change? Landlords who cannot answer those questions clearly are at a disadvantage.

Move-in inspection

Photograph every room, every wall, every fixture before the tenant takes possession. Use a signed checklist. This is your baseline.

Maintenance logs

Record every repair request and your response with dates. A tenant who unreported a leak cannot later claim they told you about it if you have no record of it.

Move-out inspection

Photograph everything again immediately after move-out, before any cleaning or repairs. Preserve the evidence.

Police report for vandalism

If the damage was intentional, file a police report before filing the insurance claim. Carriers expect a police report number for vandalism claims.

Cooper's take

The landlord insurance claim I see denied most often for tenant damage is mold from a slow, unreported leak. The tenant did not tell the landlord, the landlord did not know, and by the time of move-out there is $15,000 in remediation needed. That is not a covered claim under standard policies because it is gradual damage rather than a sudden loss.

The practical fix is a combination of things: require renters insurance (tenants with skin in the game report problems faster), do annual walkthroughs of the property, and document everything. Those habits prevent the problem more reliably than any insurance policy can fix it after the fact.

Frequently asked questions

Does landlord insurance cover damage caused by a tenant in NC?

It depends on the type of damage. Intentional vandalism by a tenant is covered under standard NC landlord policies as a named peril. Sudden accidental damage, a tenant accidentally starts a kitchen fire or leaves a bathtub running, is generally covered the same as any accidental loss. Gradual damage from neglect (unreported leaks that cause mold, filth that attracts pests, damage built up over time) is typically excluded as a maintenance issue. The nature and cause of the damage determines the outcome.

If a tenant trashes my NC rental, will insurance pay for it?

Intentional destruction of property (a tenant who trashes the unit out of spite) falls under vandalism, which is a covered peril on most NC landlord policies. However, there are important limits: your deductible applies, your personal property sublimits may apply for things like appliances, and normal wear-and-tear beyond what the security deposit covers is generally not covered. Security deposits are meant to handle typical tenant wear-and-tear; insurance is meant for genuine damage events.

Does landlord insurance cover mold from tenant neglect in NC?

Usually not, if the mold resulted from a tenant failing to report a leak or failing to ventilate properly over time. Gradual damage and neglect are excluded from standard NC landlord policies. If mold resulted from a sudden covered event (a pipe burst that caused immediate mold growth during repairs), that is more likely to be covered as part of the water damage claim. Document all maintenance communications with tenants and respond promptly to reported issues, it strengthens your position in disputed claims.

How do I document tenant damage to support an insurance claim in NC?

Use a thorough move-in inspection with photographs and a signed checklist. Do the same at move-out. Keep maintenance logs of all repair requests and responses. If a tenant causes damage and vacates, document everything before any cleanup or repairs, photograph the full scope, get repair estimates from licensed contractors, and preserve any evidence of intentional damage (spray paint, holes punched in walls, broken fixtures). File the police report if vandalism is involved. This documentation is what supports the claim.

Should I require my NC tenants to carry renters insurance?

Yes, and building it into the lease is standard practice for professional NC landlords. Requiring renters insurance protects you in several ways: tenants with renters insurance are less likely to pursue you for their personal property losses after a covered event, renters policies include liability that can cover damage a tenant causes to the unit, and insured tenants tend to be more financially responsible overall. Most NC renters insurance policies cost $12–$20 per month, making it a low-friction requirement.
